Gift Acceptance Policy Barber’s Camp Non-Profit Organization

1. Purpose
This policy is intended to guide the acceptance and management of gifts made to Barber’s Camp Non-Profit Organization. The goal is to ensure that all donations support our mission to empower aspiring barbers through education, mentorship, and personal development in a camp-style environment.
2. Mission Alignment
All gifts must support and reflect the mission, values, and vision of Barber’s Camp. The organization reserves the right to decline any gift that does not align with our goals or could compromise our ethics, independence, or reputation.
3. Types of Acceptable Gifts
Barber’s Camp accepts a variety of gift types, including but not limited to:
A. Monetary Donations Cash, checks, credit cards, and electronic fund transfers (ACH, PayPal, etc.) Unrestricted gifts are preferred but restricted gifts may be accepted if they support an approved program or initiative.
B. In-Kind Donations Tangible goods and services such as barber tools, products, equipment, educational supplies, facility space, or meals Must be new or gently used and directly support programming or events
C. Sponsorships and Corporate Gifts Financial support for specific events, scholarships, or programs May include name/logo recognition as appropriate and agreed upon
D. Securities Publicly traded stocks, bonds, and mutual funds Gifts will generally be sold upon receipt unless otherwise directed by the Board
E. Real Property (Real Estate) Will be considered on a case-by-case basis and must be free of liens, environmental issues, or unusual restrictions Requires Board review and formal acceptance
F. Planned Gifts Bequests, life insurance policies, retirement account designations, and charitable trusts Subject to legal and financial review
4. Conditions for Acceptance Before accepting any gift, Barber’s Camp may consider: The potential cost or obligation to the organization (e.g., storage, maintenance, legal issues) Whether the gift supports or distracts from the mission The reputation or intentions of the donor, when applicable
5. Gifts That Will Not Be Accepted Barber’s Camp will not accept gifts that: Violate federal, state, or local laws Come with restrictions that are too difficult or costly to honor Could damage the reputation or independence of the organization Require actions inconsistent with our mission or values Pose a conflict of interest for leadership or staff
6. Acknowledgment and Stewardship All accepted gifts will be acknowledged with a written thank-you letter and, where applicable, a tax receipt in accordance with IRS regulations In-kind donations will be acknowledged by description only; donors are responsible for their own valuations Donors who request anonymity will be fully respected
7. Review and Oversight The Executive Director and/or Board of Directors will review any non-standard or high-value gifts This policy will be reviewed annually to ensure it reflects best practices and current legal standards
8. Donor Recognition Barber’s Camp may recognize donors publicly unless they request anonymity. Recognition will be appropriate to the level of giving and in line with the organization’s communication practices.
